Cancellation and Refund Policy
TrendZ Art is an international virtual event with limited participant capacity. Once a registration is confirmed, a participant spot may be reserved and operational resources may begin to be allocated to that participation.
For this reason, this Cancellation and Refund Policy applies to all registrations, payments, installment payments, participation-related requests, booth preparation, and submitted materials connected with TrendZ Art.
1. General rule
As a general rule, all TrendZ Art registrations are final after payment confirmation.
Amounts already paid are non-refundable, except where a refund is expressly required under applicable mandatory law or expressly authorized in writing by TrendZ Art.
A confirmed registration should not be treated as a risk-free reservation, trial, temporary hold, or conditional participation with automatic repayment of amounts already paid.
2. Limited capacity and reserved participation
TrendZ Art operates with limited participant capacity.
Once a registration is confirmed, the participant’s place may be reserved within the event structure. This reservation may affect the availability of participation for other artists, applicants, or participants.
Because registration may immediately reserve capacity and trigger internal operational procedures, amounts already paid are treated as committed to that participation.
3. Operational allocation after registration
After registration confirmation, TrendZ Art may begin operational procedures related to the participant’s entry into the event, including, where applicable:
- registration processing
- participant communication
- instructional follow-up
- collection of additional information
- review of submitted portfolio or artwork materials
- preparation of the participant’s digital booth
- organization of artwork images, descriptions, biography, links, and portfolio content
- allocation of design, technical, administrative, communication, and event-related resources
- internal preparation related to the participant’s presentation within the event environment
Because these procedures may begin shortly after confirmation, registration cannot be treated as a refundable reservation after payment has been confirmed.
4. Digital booth preparation
Participation in TrendZ Art may include the preparation, organization, customization, or publication of a digital booth or digital presentation space.
Once the organization begins work related to the participant’s booth, portfolio, materials, images, texts, links, artwork descriptions, biography, or visual presentation, operational resources may already have been allocated.
For this reason, the start of booth-related preparation strengthens the non-refundable nature of amounts already paid, except where a refund is expressly required by applicable mandatory law or expressly approved in writing by TrendZ Art.
5. Installment payments
Where installment payment is offered and selected, the participant remains responsible for the payment terms accepted at the time of registration.
If TrendZ Art decides, at its sole discretion, to discontinue future unpaid installments after a participant states that they no longer wish to proceed, this will not create any right to refund amounts already paid.
Any suspension, cancellation, or discontinuation of future unpaid installments, when permitted, is an operational exception and not a refund.
6. Participant withdrawal
If a participant chooses not to continue after registration, that decision does not create an automatic right to cancellation of the registration or reimbursement of amounts already paid.
TrendZ Art may, at its sole discretion, determine whether any unpaid future installment will remain due or may be discontinued, depending on the status of the registration, booth preparation, submitted materials, internal operational handling, and applicable payment terms.
7. Failure to submit materials or respond
The participant is responsible for providing the required information, images, texts, portfolio links, artwork descriptions, biography, files, and other requested materials within the timelines communicated by the organization.
If the participant fails to submit materials, submits incomplete materials, delays delivery, does not respond to communications, or prevents the organization from completing the booth or event preparation, this will not create an automatic right to refund.
The organization may continue, pause, limit, adapt, or cancel the participant’s presentation depending on the operational status of the case, without creating an automatic refund obligation.
8. Event execution
If TrendZ Art is carried out as planned, no refund will be due merely because a participant later decides not to proceed, does not complete materials, fails to respond, fails to attend, does not use the available participation, or no longer wishes to participate.
A confirmed registration secures participation access under the applicable plan or participation condition and reserves organizational capacity for that participant. It does not create a conditional right to reimbursement based on personal change of plans, non-use, delay in submission, voluntary abandonment, dissatisfaction with personal results, or lack of commercial outcome.
9. No guarantee of results
Participation in TrendZ Art may provide visibility, digital presence, booth presentation, portfolio exposure, and event-related opportunities. However, TrendZ Art does not guarantee sales, gallery representation, collector interest, invitations, partnerships, media exposure, business opportunities, or any specific financial, professional, artistic, or commercial result.
A lack of results, contacts, sales, invitations, recognition, or opportunities does not create a right to cancellation or refund.
10. Exceptional cases
Any exception to this Policy will only apply when:
- required under applicable mandatory law; or
- expressly approved in writing by TrendZ Art
No exception, waiver, courtesy, isolated accommodation, or operational flexibility granted in one case shall create a precedent or obligation in any other case.
11. Chargebacks and payment disputes
If a participant initiates a chargeback, payment reversal request, or dispute after registration, TrendZ Art may use registration records, accepted terms, payment records, communication logs, operational records, booth preparation records, submitted materials, participation-related documentation, and this Policy to respond and defend its position.
